Dear Tenant, Welcome to Casa Mia Apartments! In this letter you will find a few reminders and other notes of interest that may be relevant to you as a tenant. If you need clarification on any of these items, please call or come by the office.
Maintenance Requests Should be Made Through the Office Maintenance requests should be made through the office. You can call or come by from 2:30 to 5:30pm, Monday through Friday. If you have a request after hours, call the office and leave a message on the answering machine. The emergency maintenance number should only be used if there is a true maintenance emergency. If maintenance does not answer the emergency maintenance number, please call the emergency management number. You can send and receive faxes during office hours. Our machine is set up to receive faxes 24 hours a day, and we only ask that faxes addressed to you be clearly labeled with your name or apartment number. You can send faxes anywhere in the continental United States with no charges, but you can only send faxes when the Casa Mia office is open. Our fax number is the same number you call for management or maintenance issues. That number is (405) 372-1228. Seasonal Warnings for Heat and Air Conditioning Never leave your doors and windows open when you are running your heater or air conditioner. During winter months you must be sure that your apartment never reaches freezing temperatures. This is very important if you go on vacation during the winter months. Please remember that you are responsible for damages from frozen pipes if you fail to heat your apartment. During the summer months you must remember to not leave your doors and windows open when the AC is running since the additional humidity can cause condensation to collect on the chiller pipes which run through your apartment. If you ever notice a condensation leak coming from your ceiling, please use a container to catch the water, and report the leak to the office immediately. This is not an emergency, but we must be made aware so it can be fixed as quickly as possible.

Vending Machine on the North Side of the Complex A vending machine can be found on the North side of the street in the breezeway. The machine vends bottles of soda and non-carbonated beverages. The machine is service by Cowboy Vending. Our Laundry Rooms are Secure In order to ensure a safe and clean environment in the Laundry rooms, combination door locks have been added to the Laundry room doors. These locks will lock themselves automatically, and all tenants share a common code to get into the Laundry room. This should help keep the machines safe, your clothing secure, and there is no doubt that it will cut down on the outside traffic that occurs in these rooms. It is our desire that the laundry rooms be for tenants only, so please do not share the door combination with anyone who is not living at Casa Mia Apartments. You will be notified in advance if the codes are ever changed. • •

Help Us Conserve Energy As you know, Casa Mia Apartments is an all-bills-paid complex, but we still ask that you help be a good steward of resources like water and electricity. Try to avoid leaving lights on when not necessary, limit the amount of water you use, and try to be “green” when possible. Not only will it save Casa Mia Apartments money in the long run, keeping your rent at its current rates, but it will undoubtedly help the environment. Be a Good Neighbor – Keep the Noise at an Appropriate Level Keeping your noise at an appropriate level is not just Casa Mia Apartment policy, it is also the law. There are two city of Stillwater ordinances regarding noise, those being ordinance 2827 and 2828. One ordinance prohibits “any excessive, unnecessary or unusual loud noise,” and the other prohibits “any loud music as defined by time, distance sound carries, and location.” Please keep these in mind if you or your neighbors are being loud. Call the office during office hours, and call the police after office hours.

Tenant Information Sheets Keep Us Informed We urge you to fill out a Tenant Information Sheet and keep it updated. This allows us to have access to your most recent contact information, and it allows us to better monitor the parking lots, keeping your parking space open and available for you. If you have not yet filled out a tenant information sheet, they are available in the office. Please include any relevant information that may assist us in contacting you and keeping the parking lots free of unwanted cars. Grill Warning There is a city ordinance concerning open burning, and grills and smokers cannot be operated on balcony breeze ways, decks, or locations near the building. The Stillwater ordinance number 2699-Sec. 12-102-1-E reads, “Barbecuing on combustible decks or balconies at multistory apartment complexes is not allowed unless non-combustible surfaces are in place to prevent embers or ashes from contacting combustible materials. Noncombustible surfaces are to be above, below and adjacent to the site.” We do not have noncombustible services, therefore you must grill and BBQ a safe distance from the building. We consider safe to be a minimum of 12 feet from the building. Pay Your Rent and Note Your Apartment Number Just a reminder to tenants paying by check or money order: Please be sure to write your apartment number in the notes section of your check or money order. Rent is due on the 1st, no later than close of business on the 5th of each month; after close of business on the 5th, there is a $25 late fee, plus $3 a day until it is paid. You may bring your rent (cash, check, or money order) to the office during office hours or put a check or a money order in the drop box located on the front door after hours. Never put cash into the after-hours drop box. Mailed rent must be postmarked by the 5th to avoid a late fee. If you have trouble coming up rent money, come talk to us as soon as possible. Not paying rent is not an option!
Strict No-Pet Policy We have a strict no pet policy at Casa Mia Apartments. Your lease states that there are to be no animals kept in or about the premises. This means that you cannot have any type of a pet, even if it is small, and pets should not be allowed to visit. While this policy is strict, it is necessary for the safety of our tenants and the cleanliness of our apartments. Violations of this policy will result in a loss of deposit and eviction. So Close to Campus that Strangers Love to Park here Too! You should only park in your designated parking space. Any person in violation is subject to ticketing and/or towing without exception. Also, remember to keep this year’s parking permit visible in the front window of any car parked in your assigned parking space. All cars not displaying a parking permit are subject to ticketing and/or being towed. Visitors can park in visitor parking located at the northwest corner of the north parking lot, parallel on West Street, or in 30 minute parking along Miller Street. Please use caution when parking in 30 minute parking, since the 30-minute zone is strictly monitored between 8-5pm, Monday through Friday.
