Splash Club Meeting Minutes October 16, 2014

Attendance: Ana Gonzales, Winnie Bays, Lisa Okroi, Beth White, Rebekah Gunsauley, Kent Nicholson, Karen Gibson. Rebekah called the meeting to order at 6:05 p.m. Kent proposed that the September meeting minutes be approved; Ana seconded. All agreed and motion was passed. COMMITTEE REPORTS Coaches Report: Kent stated that Meet Manager and Team Manager software used for our swim meets needs to be updated. This was a need originally mentioned last May. The software is used in hosting home meets and turning in entries for other meets. Meet manager software is $229 and Team manager is $59. Karen moved that Splash Club approve the purchase of the swimming software for $288. Winnie seconded. A vote was held and motion was unanimously passed. The first meet is the Jenks Invitational on November. Both Norman North teams and NHS boys have been invited. November 4 will be the first home meet. Kent has posted the flyer for the Texas meet (11/8) on the swimming website. He will let swimmers know who will be attending that meet. Kent is using the Remind app with swimmers. Discussed setting up another account to dispense information to parents as well. Financial Statement: Katherine was not present, therefore a financial report wasn’t available. Rebekah reported a balance of approximately $8300. Once all invoices and expected expenditures are paid, Splash Club will have approximately $3500 left. Team Suits and Apparel: Team suits and apparel have been ordered. Rebekah spoke to Dawn. It is hoped that they will be in next week. Fundraising: The Splash Club account balance is low for the beginning of the season, so more funding is needed. Rebekah and Winnie are still working with NAA on obtaining the universal business donation letter. A parent direct donation letter has been posted on the website. Other fundraising ideas were a monthly Raising Canes fundraiser with an increased effort to get the schools to publicize this to the entire population. Beth will check on that and seat cushions and yard signs. We will sell heat sheets, remaining t-shirts, and water at home meets.

NAA Report: Winnie has an NAA meeting next week. She will check on possibility of selling yard signs and/or seat cushions. Also, she is gathering names of swimmers who are still waiting for letter jackets in addition to NNHS girls have not received state rings, which were originally expected in May. Rebekah reports that all paperwork required by NAA for sanctioning, budget, etc. has been turned in. NEW BUSINESS Timing system: On October 2, Kent informed the rest of the board that the timing console has died. A new one was priced at approximately $6000. Kent proposed that SSC pay $1000, Splash Club pay $1000, and NPS pay the remainder. NPS was agreeable with this. A board email vote was held since this was a matter that couldn’t wait until this meeting. The timing console is necessary to hold swim meets. The board approved this unexpected purchase. Splash Club member were notified via the website. Rebekah submitted an amended budget to NAA. Home swim meets: We will host our first home meet against Moore in approximately two weeks. It takes a lot of people volunteering their time to make a swim meet go smoothly. Ana G. is head timer and would like to see volunteers signing up ahead of time so we aren’t scrambling for help at the last minute. Karen will investigate a signup system for a way to encourage volunteers to sign up ahead of time. Lisa knew of a sign up system and will forward information on that. Ana Deaton previously agreed to coordinate meet hospitality. Rebekah will check with her. It was decided that meet hospitality will be a low key affair with snack foods and water. Previously there has been an overabundance of food for our needs. Swim towels: Beth is looking at state swim towels and has found some at Walmart that she thinks she can get for $7 each. They are thinner and would be easier to embroider. This will be discussed again. Kent proposed that the meeting be adjourned. Ana seconded. The meeting was adjourned at 6:55 p.m. The next Splash Club meeting normally would be Thursday, November 20 at 6 p.m. at OU. However, a home meet is scheduled for that day. A new meeting time will be announced at a later date.
