The new Officer at Large system will be implemented soon. Officers will take turns guiding Officers at Large through what their officer duties encompass and what it is like to hold that office. The Officers at Large will be swapped throughout the year so each Officer at Large can experience each of the offices. 2. The upcoming BLSJCL publicity events are described. The Halloween event will have a pumpkin painting contest and a costume contest. There also are going to be Apollo concerts on October 1st and October 2nd with a pre-concert discussion on mythological topics on October 2nd. 3. The BLSJCL bake sale will be held on December 14th, close to the date of Saturnalia. The Yankee Candle fundraising event will begin in November and will continue through December. More emphasis should be placed on the sales process and more people should be actively selling from the catalog. 4. The two bulletin boards are to be taken down, updated, and redesigned. They are currently out of date and they ought to be updated before the Open House on Thursday, September 29th. Although the poster from the last Extracurricular fair is still available, a new one should be made. Anyone interested in helping out with the Bulletins or the poster should talk to the Historians. 5. There are plans for the creation of a Publications Committee. The Publications Committee will work with the Publications Editor and will learn the basics behind layout and design. In addition to a Publications Committee, there will also likely be a Scrapbook Committee made to help the Historians. 6. The Extracurricular fair will be held on Wednesday, September 28th. Tetrarchs will receive passes to leave from R7 in order to set up the poster in the Dining Hall. Volunteers are needed to manage the poster and the crowds of people.

Minutes: I. Beginning of Meeting

New Officer at Large System: 2:29​ -- Allyson begins the second board meeting and explains the new Officer at Large system for the year. Each officer at large will work under an officer for a given amount of time. The officers will show the Officers at Large what it is like to hold their office. 2:30 ​-- It is Luc’s birthday and Ms. Moguel projects a youtube video singing a song about a cat licking a birthday cake. 2:31​ -- Allyson asks if any officers had preference over which Officers at Large they received first. Ashley wants Emily and Luc will be working with spirit since he will be working with the chariot. 2:32​ -- Older officers should demonstrate good leadership skills to the Officers at Large and encourage them to run for office in coming years. Publicity Report: 2:33​ -- Ina states that she plans on having pumpkin painting, a costume contest, a community art project, and a dance, as the BLSJCL Halloween events 2:34 ​-- There is concern that the dance would be hard to get approved and that the costume contest may interfere with the schoolwide costume contest already in place. Halloween is on a Monday this year and it would be hard to get people to come after school. 2:35​ -- There is the possibility of holding it on the Friday before Halloween, but people would not already be in costumes, making the logistics of the costume contest difficult. The Halloween event is a large source of potential sales. 2:36​ -- Allyson supports the idea of having the community art project and costume contest at the same event, but has serious concerns for the dance. There can not be paint and food in the same room. 2:37​ -- The community art project, pumpkin painting, and the costume contest can all be in rooms next to one another. The costume contest should be classically based and there can be a reward for the winner. 2:38​ -- Ms. Moguel suggests moving the art project to a separate date since pumpkin painting takes a long time. 2:39​ -- Allyson says that there is already a lot going on during this time of year and we may not want to be adding many new events. Anna brings up the possibility of a UNICEF donation element to the event. Carina mentions that a lot of money from the pumpkin painting event was from selling candy.. 2:40​ -- Ms. Moguel says that since there is already a UNICEF club at BLS, that we should either drop the idea or start working with the UNICEF club

2:41​ -- The costume contest can be an online event where people pay to enter, have a picture taken, and the photos put online for people to vote on. 2:42​ -- After the group photo for the BLSJCL costume group, the individual photos for the costume contest can be taken. In the past, room 031 has been used for the pumpkin painting event, however, Ms Foley no longer has that room, so we will have to ask Mr. Brownell to use the room. 2:43​ -- Although 031 has been used in past years, it has seemed quite cramped, even when using the room next door. Would it possible to use a room on the first floor? 2:44​ -- Ina will have to scout out the best room and ask the teacher for permission. 2:45-2:46​ -- Ina reminds us about the publicity forms that were handed out at the transitional meeting. She will be making more in case anyone has lost theirs or needs a second copy. Many publicity points can also be earned by giving out latin care packages to latin teachers. 2:47​ -- We should reach out to non-JCL Latin teachers. They always need school supplies and by simply writing JCL or putting a Certamen sticker on it, there is the possibility for many points. 2:48​ -- The idea of handing out JCL pencils before standardized tests such as the PSAT, MCAS, and term finals can earn many publicity points. 2:49​ -- Anna reminds us of the Apollo themed concerts that will be taking place on Saturday October 1st, and Sunday October 2nd. October 2nd also happens to be the date of the Roslindale parade. On Sunday, there will be a pre-concert open discussion about mythology. Having JCL members attend the concerts will earn many publicity points. 2:50​ -- The Roslindale Parade is set to start at 1:00 and will likely last many hours. The option of going to the Saturday concert is still open. 2:51​ -- The concerts are centered around the myths of Apollo and Daphne, and Apollo and Hyacinthus. The discussion about mythology will only be taking place on Sunday, but due to the conflict with scheduling with The Roslindale Parade, the Saturday concert seems like the better choice. Treasurer Report: 2:52-2:53​ -- Ashley begins with a book wrapping event report. It took a while for people to get organized in the lines and for everyone to understand how the process worked. Many people went through the line without filling out the order forms. Some teachers had not given out books yet. 2:54​ -- All the fabric book covers were eventually sold. The advertisement on social media was fantastic. Sadly, the announcement did not make it’s way into the daily bulletin. The quality of book wrapping was much better than last year. No books ended up lost this year. The system for the people working in the hallway was much better than last year. 2:55​ -- Ashley recommends that people keep an eye out for cheap fabric book covers. It does not have to be the few weeks before the event. If fabric book covers are really cheap, you should buy it.

2:56​ -- This year, we had approximately 200 fabric book covers, all of which were sold. 200 seems like the perfect number, however, it is always better to have more than enough than less than enough. Book covers can continue to be sold after the event by Ms. Moguel in class. 2:57​ -- The Yankee Candle Fundraiser will likely start in November before Thanksgiving. Sales should be a continuous event and the online system allows for continuation of selling through Christmas. 2:58​ -- The BLSJCL Bake Sale will be held on December 14th. There are plenty of fundraisers to be held throughout the year and more emphasis should be placed on increasing the profits from these fundraisers instead of increasing the number of fundraisers. 2:59​ -- Ashley moves on to new merchandise that could be sold. Jess had a T-shirt design with the text “Straight Outta Tartarus”, an allusion to the movie “Straight Outta Compton”. 3:00​ -- Allyson brings up the possibility of a button designing contest. At National Convention, most states had pins and they sold well. 3:01​ -- Publicity and Treasurers should talk about the possibility of a button designing contest. The idea for the “Straight Outta Tartarus” T-shirt is scrapped. 3:02 ​-- Carina has the T-shirt idea of JCL being written as ICL and rendered as “Iuvenes colentes Latinam” which translates as: “Youths worshiping Latin”. This is a clever idea but makes the JCL sound too much like a cult. 3:03​ -- Selling items as part of a series or collection may increase sales. Having 4 buttons in a collection may sell extremely well at Nationals. 3:04​ ​- 3:05​ -- Possible button collection ideas are discussed, most notably a Chimera Series where the pins are put together to form the animal parts of the Chimera and a Hydra series where you collect the heads of the Hydra. 3:06-3:10​ -- Ms. Hausey reminds us that everyone should be putting a lot of effort into the Yankee Candle Fundraiser event. Sellers should put more effort into how they are selling and not on what they are selling. Having prizes for the people who sell the most candles may motivate people to sell more. More effort should be put into the sales. 3:12​ -- Ben brings up the possibility of selling chocolate along with the Yankee Candles. Chocolate and candy can not be stored in the building for a long time because it would melt. Ms. Hausey reminds us that popcorn is also sold during the Yankee Candle Fundraiser event. 3:13​ -- The chocolate and candy issue can be resolved by having people sell them from a catalog and distributing them once they can be brought in. 3:14​ -- Sales of candy or snacks should definitely be done during Lupercalia in addition to being on going events. 3:15-3:16 ​-- Jonathan explains that one of the ways to increase sales is to be persistent. Go to teachers and adults and continue to ask them to buy items from the catalog. People should also be informed about the cause to which the money is going. There could be a general meeting before the Yankee Candle sales begin to get more people to sell and to get people more motivated to sell.

Historian Report: 3:17-8​ -- Hilary plans on updating the bulletin sometime before next Thursday, the day of the open house. She plans on having a Nationals recap with awards, upcoming events, and jokes about the classics. Bellum ​Pun​icum at the BLSCertamen tournament was quite successful. 3:19​ -- A new Historian email address, h​ [email protected] ​was created. Officer pictures will be taken after this meeting outside and anyone who is unable to stay or is not present can schedule to have their picture taken at another time. 3:20​ -- Ms. Moguel reminds Publicity and the Historians that after an event ends, the posters in the hallways should be taken down within a short time. The smaller bulletin on the first floor cross hallway should also be updated. It is outdated and needs to be brought up to date. Ms. Moguel will have the key to access it. 3:21-3:22​ -- The bulletins really need to be updated by next Thursday. If there is not enough time to have it fully prepared, there is also the option of just leaving it blank. Ms. Foley and Ms. Hausey may have some decorations for the bulletin boards. 3:23​ -- Anyone interested in helping update the bulletin boards should contact the historians. Webmaster Report: 3:24​ -- Jonathan explains that the domain of the current website is bls-jcl.org, but he is trying to get a hold of the domain blsjcl.org. It currently is unavailable and he is working towards obtaining the domain as soon as possible. 3:25-7​ -- A few people have yet to have sent in their responses to the questions for the website. Those who have not submitted their responses should do that soon. Once the Historians take officer photos outside, the temporary pictures will be swapped out for them. 3:28​ -- Ms. Hausey praises Jonathan’s work on the website as being aesthetically pleasing. Some of the wording on the website may come off as sounding superior or exclusive. The language on the website should be welcoming and not sound arrogant or exclusive. 3:29-30​ --There are existing clubs that are smaller than JCL but are able to accomplish more because their members are more engaged. The idea of JCLove, bragging about our accomplishments, and inside jokes makes us seem rude and unaccepting. 3:31​ -- Everything going out to the public should be seen and approved by the tetrarchs and sponsors.This includes websites, publications, and publicity, as well as other things. Spirit Coordinator Report: 3:32​ -- Ben reminds us that the Roslindale Parade will be on October 2nd. The listed start time is 1:00 PM, but those participating should meet up before then to prepare. He will send out an email asking who is interested. The chariot will be there and it will be a ton of fun. The official cheer list will also be sent out soon.

3:33-3:34​ -- The parade should not only consist of people who serve on the board. The email can go out to the BLSJCL email list or more particularly, the email list for those who went to State Convention. Community Service Czar Report: 3:35-3:36 ​-- Nestoras aims to have 1-3 community service opportunities per month. The creation of a point system will get people more motivated to attend events. There will be a prize for the person with most community service at the end of the year. On October 16th, a 10k for Firefighters will be held and they are looking for people to help hand out water. 3:37-3:38​ -- The 10k will be very soon after the first meeting. The fall community service fair will be on October 6th and we should advertise for the event then. Nestoras should draft an email to the Tetrarchs about the opportunity and will present the event at the first general assembly. 3:39-3:41​ -- The Greater Boston Food Bank is always having canned food drives. It would be an ongoing event over a long time. There are sure to be many other food drives going on during this time of the year. We would need permission to organize the canned food drive. Usually we stray away from collections since many other clubs do them. Events at a certain time are usually more successful than long term efforts. Parliamentarian Report: 3:42​ -- Over the Summer, Carina had looked over the constitution and has 2 new ideas for changes to the constitution. She emailed her ideas to Mr. Bartoloma and will send out information regarding those ideas after she hears back from Mr. Bartoloma. Publication Report: 3:43​ -- The first issue of the Paws Romana is a work in progress and should be done before the Extracurricular fair. Almost everyone has submitted the requested officer information to Ting. There are only a few people who still need to fill out the form. He plans on having 4 issues of Paws Romana. The first issue should be done by Extracurricular fair, the second during Winter break, the third after the Harvard Certamen tournament, and the fourth after State Convention. 3:44​ -- The plan to create a Publications committee is brought up. In order to reserve the computer labs for the committee, Ting should talk to the librarians. Ms. Moguel points out that Harvard Certamen and State Convention are very close together and it might be best to wait a little while after State Convention to publish the 4th edition. 3:45-3:46​ -- Thanks go out to all people who give constructive criticism on his work so far. Since many publications clubs reserve the computer labs far in advance, Ting should look into reserving the labs as soon as possible and plan around the available dates. 3:47​ -- The recruitment of the Publications Committee is aimed towards underclassmen, specifically 8th and 9th graders who are interested in running for Publications Editor in the future. The committee is open to everyone, including current officers.

3:48​ -- Ting plans on having layout workshops to help train people. He will be sending out an email to see who is interested in being a part of the committee. In addition to a Publications committee, there will also likely be a scrapbook committee to help the Historians. Secretary Report: 3:49 -3:50​ -- Joshua prepared Minutes for the transitional meeting in June. The Minutes were submitted to the BLSJCL board within the 48 hour limit. Thanks is given to all who gave feedback and support. In the future, he will give officers the ability to comment on the Minutes. The Extra Curricular Fair: 3:51-3:56 ​-- The Extracurricular fair will be on Wednesday September 28th. We still have the poster that was used last year, but a new poster is favorable over reusing the old one. Anyone interested in making poster should talk to the Historians. Ina, Jonathan, Ting, and Jess are interested in making the new poster. People will be needed to be at poster. Tetrarchs will get passes to leave early from their R7 classes to set up the poster board. People will also have to come after school to help out and manage the board. Anna, Jonathan, Ina, and Jess may be available to watch the poster. People who want to sign up should do so before the fair if possible. Jonathan will put the sign up sheet on the website. The First General Meeting: 3:57-3:59​ -- The first general meeting can either be held in the Auditorium or in the Dining Hall. October 6th in the Auditorium is proposed and generally agreed upon. The Tetrarchs will look to reserve the Auditorium for October 6th.. Kickoff 4:00​ -- Kickoff will be held on October 22nd. All officers should register and go. As of now, the price to attend Kickoff is 10 dollars, but the price of the bus has not been incorporated yet. Boston Elite Certamen Tournament: 4:01-4:02​ -- The Boston Elite Certamen Tournament will be held on Saturday, September 24th. Everyone is encouraged to go and cheer on your teachers and fellow students. It is being held at Boston University and will begin in the morning. 4:03​ -- The meeting comes to a close and officers are reminded to have their pictures taken outside by the Historians. II.
