Main purpose of the position The position provides administrative support to the Project Development & Grants Management Unit (PDGMU), focusing primarily on grants management activities.

Main responsibilities
Drafting/reviewing sub-award agreements and facilitating their internal clearance
Maintain and manage inventory of general agreements (ex. Memoranda of Understanding)
Maintain and manage inventory of concept notes and project proposals, and, working with Grants Management Officer, maintain agreement/project documentation
In coordination with PDGMU Staff, undertake data entry and maintenance of PDGMU database (Agresso) of project agreements and concept note/proposals, ensuring information is accurate and current
Updating the list of technical and financial reports due on a monthly basis for circulation to ICARDA project leaders

Preparing selected reports and statistics using database (Agresso) related to ongoing and completed proposals and projects (ex. Board of Trustee reports, proposal or project reports related to donors, project regions, etc.)
Assist Grants Management Officer with follow up with concerned ICARDA staff on relevant project technical/financial reports and other project-related deliverables due to donors
In coordination with the Grants Management Officer, liaise and communicate with ICARDA staff (ex. technical programs, support units) with regards to grant-related enquiries
As required, provide support in the development of documentation to support donor meetings and other resource mobilization activities
Liaise and communicate with Agresso project team when necessary for Agresso updates
As required, translating of letters and agreements from Arabic to English and vice versa.
Drafting cover letters when sending legal documents (ex. original grant agreements, financial reports to donors, etc.)
Providing general administrative assistance for PDGMU, including drafting ICARDA administrative forms, travel arrangements, expense claims, purchase requests, minutes of meetings and follow-up action as necessary.
Education, qualifications and experience
Bachelor’s (or equivalent) degree in a related field
At least five years of relevant experience
Basic knowledge of administrative and /or operating protocols and procedures related to the project cycle, specifically project development, grants implementation, and budgeting
Ability to analyze data, carry out and explain computations related to data gathering and analysis
Ability to think creatively to develop novel or improved processes, methods or solutions.
Basic supervisory skills are desirable
Ability to work with minimal supervision
Excellent organizational skills and ability to work effectively within deadlines
Excellent interpersonal skills to work effectively in a multidisciplinary and multicultural work environment Excellent written and oral communication in English, high proficiency in Arabic required.

Ability to communicate and relate effectively with internal and external stakeholders, including with high-level representatives.
Proficiency in standard Microsoft Office programs (ex. Word, Excel, PowerPoint)
Proficiency in the use of databases including Enterprise Resource Planning systems (ERPs)
Terms of appointment, salary and benefits The initial contract will be for 3 years, of which the first year will be probationary period. Subsequent employment is decided based on performance, continued need for the position and availability of funds.
