Personnel Technician Purpose Statement The job of Personnel Technician is done for the purpose/s of ensuring under supervision ensuring personnel procedures conform to district policies; providing information to potential applicants on positions within the district; maintaining records of employee status; providing information to employees within the district; documenting information; and processing applicants efficiently. Incumbents in this classification provide students and staff (and the public) with administrative support services (for school sites) which directly supports learning. This job reports to Associate Administrator, Human Resources. Essential Functions Compiles data and materials (e.g. new hire paperwork, fingerprinting, physical exams, TB test, etc.) for the purpose of complying with financial, legal and/or administrative requirements. Coordinates employment process for classified, certificated, and supplemental positions (e.g. recruiting, interviewing, postings, etc.) for the purpose of complying with all school system, state and federal regulations. Coordinates and conducts new hire orientations for the purpose of conveying information regarding personnel procedures, school board policies, negotiated agreements and insurance/retirement benefits. Maintains a variety of manual and electronic documents, files and records (e.g. applications, employment eligibility, test results, flex records, etc.) for the purpose of documenting activities, ensuring payroll is met, providing reliable information, and complying with district, state and federal requirements. Oversees temporary employees for the purpose of providing guidance with their work functions. Participates in meetings, workshops and seminars as assigned for the purpose of conveying and/or gathering information required to perform functions. Performs record keeping and clerical functions (e.g. copying, faxing, filing, reports, inventory, ordering supplies, etc.) for the purpose of supporting the department in providing necessary records/materials. Prepares written materials (e.g. application form packets, letters, requisitions, new hire packets for coaches, lists, etc.) for the purpose of documenting activities, providing written reference and/or conveying information. Presents information on administrative procedures, services, regulations, etc. for the purpose of training and orienting other personnel and/or disseminating information to appropriate parties. Processes employee records electronically for the purpose of ensuring payroll is met in a timely manner. Proctors proficiency and recruitment testing for the purpose of evaluating applicant qualifications. Recruits classified, and/or employees for the purpose of ensuring an adequate work force. Responds to inquiries of staff and the public for the purpose of disseminating information on employment positions and providing direction as may be required. Schedules evaluations, testing, interviews, etc. as may be required for the purpose of processing applicants efficiently. Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
Other Functions Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment. Job Requirements: Minimum Qualifications Skills, Knowledge and Abilities SKILLS are required to perform single, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: preparing and maintaining accurate records; operating standard office equipment; and utilizing pertinent software applications. KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: personnel practices applied within a school district environment; interpreting contract language; pertinent codes, policies, regulations and/or laws; and concepts of grammar and punctuation. ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with a variety of data; and utilize a variety of job-related equipment. Problem solving is required to analyze issues and create action plans. Problem solving with data may require independent interpretation; and problem solving with equipment is limited to moderate. Specific ability based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; establishing and maintaining; effective working relationships; providing direction and leadership; working with detailed information;traveling locally; adapting to changing priorities; and working with frequent interruptions. Responsibility Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; operating within a defined budget. utilization of resources from other work units is often required to perform the job's functions. Working Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity.
