Universal U‐PASS Advisory Board Preliminary Summer Meeting 13 September 2011 1. The chair moves to add one agenda item at the end: logistics for meeting in the future. 2. Josh: FAQs and email templates a. A draft of the FAQs was sent out after the last advisory board meeting but he did not receive any responses. There were a few tweaks made to those FAQs and they are now posted on the website. i. Melanie: It would be nice to get the current copy of those with the meeting minutes b. Discussion about U‐PASS page within transportation services website. The page should be easier to get to and perhaps linked to from the MyUW mainpage i. Josh and Chris: We will raise the profile of the webpage and let you know how we’ve done that next week. c. GPSS and ASUW may add U‐PASS information to their websites. If so they will link to Commuter Services’ page, particularly if the FAQs use skip logic. i. ASUW and GPSS will follow up to see who runs their respective websites and will put them in communication with commuter services’ webmaster. d. SoundTransit hot topics should be updated to be Universal U‐PASS hot topics instead. e. Email templates for complaints (attached) i. Discussion over how soon they will be released. Student fees are posted tomorrow (Wednesday, September 14) and complaints will come in shortly after. It’s important to have the templates in place as soon as possible while still giving ASUW and GPSS a time to review the messages. ii. Rene expressed that some parts of these may cause a stir, some students may be angry. 1. The board recommends create a couple of different ways to creatively explain it. Including rewording and reworking at least half of the prompts and coming up with new prompts. ASUW and GPSS will brainstorm and compose new templates within the week. a. Template one will be active immediately as a response to questions b. Template four will also be active immediately with the 2nd and last sentences struck and an addition of FAQs c. The last paragraph of template two becomes an FAQ

Stephanie: Deactivating U‐PASS with schedule changes a. In the student database, when students change their classes, they could go in and out of a class or major that would prevent them from paying the SAF. This is a very small population, but SDB needs to know what to do for this small population in terms of the U‐PASS fee and keeping their U‐PASS. i. If they are no longer in the SAF pool within 1‐7 days they are issued a complete refund and the U‐PASS is shut off ii. If they are no longer in the SAF pool within 8‐30 days then they are issued a 50 percent refund and the U‐PASS is turned off. iii. After 30 days they will receive no refund. Should they continue to have their U‐PASS? 1. Melanie: So this would mostly occur if a student was in a fee‐based major but taking one state‐supported class, and then dropped that one state‐supported class? a. Stephanie: Yes, essentially. b. Consensus: students issued no refund should hold their passes through the end of the quarter. Communications update a. Sandwich boards will be posted at bus stops around campus and on UW’s property above the bus stops on 15th Ave. NE i. Will feature Commuter Services’ Tap and Paws (Pause) campaign featuring Dubs 1.
