2. Quoted Price: The Tenderer shall quote for items in the format of quotation attached; 1. The quotation shall be attached with the sample materials of the size and specification of the material showing the name of the brand. 2. All duties, taxes and other levies payable by the tenderer (including Sales tax on the finished goods) shall be included in the item rate. 3. The rates quoted for each item shall be fixed for the duration of the contract and shall not be subject to any adjustment. 4. Rates for supply of partial quantity of an item is not acceptable. 5. Corrections if any shall be made by crossing out, initialing, dating and rewriting. 6. Cable or Facsimile quotations are not acceptable. 3. Each tenderer must submit only one quotation. 4. Validity of quotations: The quotation shall remain valid for a period not less than 30 days after the
deadline fixed for submission of quotations. 5. Evaluation of quotations: The purchaser will evaluate and compare the quotations determined to be substantially responsive i.e., which are properly signed, and conform to the terms and conditions and specifications in the following manner: a. The evaluation will be done including the sales tax. If the tenderer has not included the sales tax in his quotation for the item rate, and has also not indicated the rate of Sales tax applicable, the quoted rate will treated as though it is inclusive of the Sales tax and no extra payment for Sales tax will be made; b. The evaluation would be done for all the items put together. The items for which no rates have been quoted would be treated as zero and the total amount would be computed accordingly. The tenderer who has quoted for partial quantity of any one or more item(s) would be treated as non-responsive. Purchaser will award the contract to the responsive tenderer, whose total cost for all the items put together is the lowest. 6. Award of Contract: a. The purchaser will award the contract to the tenderer whose quotation has been determined to be substantially responsive and who has offered the lowest price as per para 5(b) above. b. The Purchaser reserves the right at the time of contract award to increase or decrease the quantities of any or all of the items indicated in para 1 above by 25% without any change in the unit price or any other terms and conditions. c. The purchaser prior to the expiration of the quotation validity period will notify the tenderer whose quotation is accepted to the award of contract. The terms of the accepted offer shall be incorporated in the purchase order. d. Normal commercial warranty/guarantee shall be applicable to the supplied goods. e. Payment shall be made immediately after the delivery of the goods and their acceptance. f. Notwithstanding the above, the Purchaser reserves the right to accept or reject any quotations and to cancel the quotation process and reject all quotations at any time prior to the award of the contract. 7. Last date and time of receipt of quotations: You are requested to submit the sealed quotations super scribed on the envelope as “Quotations for the supply of Uniform to our staff due on …………..” latest by …………….hours on ……………..(date). General Guidelines And Specifications for Sourcing of Fabrics 1. The sample of Suiting & Shirting is available with EO at Registered office RCUB as a reference . All bidders are requested to see the same & submit their bid accordingly. 2. The bidder has to submit the two nos. of tender sample (preferably as per colour, design of the item) for each item should be of 1 Mtr each strictly as per Specification. 3. The Actual Color, Design & pattern will be given to lowest (L-1) bidder, in turn theL-1 bidder has to submit the sample of particular uniform item strictly as per color, design, pattern & as per specification within 15 days for an approval of Committee. 4. Fabric will be in the form of packed cut pieces as per specifications of Fabric pack. 5. No fabric defect of any nature is permissible in the pack, refer Annexure No. 1 6. Shade variation within the same piece is strictly unacceptable. 7. The supplier should offer the lot of cloths for initial Inspection & joint sampling at their works. 8. The tenderer who selected for supply should inform this office when the production is start for random. Inspection during the whole production and organization can inspect the process on line at any time without prior intimation. 9. Inspection team will be free to take sample 1 meters at any stage of production. 10. The bidder will be responsible for delivery of ordered material within one months from date of receipt of order. 11. Production sample is to be approved before the bulk production start. 12. All bidders are requested to submit the test report as per specification for offered item. The test report should be of their own lab/any other approved lab. 13.
