Using SAM SFTP and Downloading Extracts

This guide is intended for users who have already been approved for access to the extracts from the SAM website. The SAM Team has an alternate download option for downloading extracts other than from the SAM website. Access to the SAM server is available via SFTP protocol with an approved SFTP client such as WinSCP. 1. To connect to the SAM production SFTP site please use the following parameters: SAM Production SFTP IP address: 66.77.18.180 Utilize Port 22 on the SFTP client. Enter your SAM username and password in the appropriate fields

2. Log into the SAM SFTP site.

Note: If you do not receive a “Notice to Users” message then firewall configurations within your network are blocking your connection. If you are unable to connect, after seeing the “notice to user” message, please contact the Federal Service Desk at 866-6068220. 3. Refer to the directory structure below to navigate to the Extract you need. For example, if you need Legacy CCR Extract – Sensitive files, navigate to the /current/legacy/Sensitive folder. You will only be able to access the contents of folders that your account has been given permission to view. For SAM extracts, see below:

4. Download the Extract. Refer to the file timestamp to find identify the required files. The first sample below is for SAM extracts. The second sample is for Legacy CCR extracts.

1.1 SAM File Naming Convention The naming conventions of the files are defined below. In this example from above, the file is named SAM_FOUO_DAILY_20130701.ZIP. 

“SAM” – The first word stands for “System for Award Management” to differentiate from the Legacy files.



“FOUO” – The second word defines the sensitivity level for the extract file. In this example “FOUO” stands for FOUO or “For Official Use Only. Other sensitivity levels include:





o

PUBLIC - Public

o

FOUO – For Official Use Only (FOUO)

o

MPIN – MPIN

o

SENSITIVE – Sensitive

“DAILY” – The third word identifies what type of file the extract is for. The types of extract files are: o

DAILY – Daily File. Posted Tuesday-Saturday each containing the changes/updates that took place from the previous file.

o

MONTHLY – Monthly Refresh File. Complete dump of all active entities as well as the past 6 months worth of expired entities.

20130701 – The calendar date for each file.

1.2 Legacy File Naming Conventions Note: support for Legacy Files ends on August 1st, 2014 The naming conventions of the files are defined below. In this example from above, the file is named BFD4082_13060 

“B” – The first character stands BPN, for the Business Partner Network



“F” – The second character defines the sensitivity level for the extract file. In this example “F” stands for FOUO or “For Official Use Only. Other sensitivity levels include:

C – Complete

o

F – For Official Use Only (FOUO)

o

M – MPIN

o

P – Proprietary

o

S – Sensitive

“D” – The third character identifies what type of file the extract is for. The types of extract files are: o

D – Daily File. Posted Tuesday-Saturday each containing the changes/updates that took place from the previous file.

o

R – Monthly Refresh File. Complete dump of all active entities as well as the past 6 months worth of expired entities.



4082 – This identifies that this is version 4082 of the extract. Inside many of the folders are two versions of the files, version 40822 and 4082. The only difference between these files is that Version 40822 contains disaster relief information. Other than disaster relief information, V4082 is identical to V40822.



13060 – The Julian date for the file. In this example it is the 60th day of 2013, or Friday, March 1, 2013.
