POLICY: 1. The Board shall endorse and encourage field trips of an educational nature. 2. Approval for field trips shall be obtained as outlined in the following administrative procedures. 3. Board supervision and safety provisions shall be followed.
ADMINISTRATIVE PROCEDURES: 1. General for all trips a) The approval of the Principal and School Superintendent will be required. b) A Board excursion form will be completed by the individual responsible for organizing the trip. c) Written parental consent for pupil participation will be required. d) A reasonable rate of participation of the group or class will be required. e) The continuance of programming or an appropriate experience will be provided for those pupils who are not involved in the excursion. f) Board medical information forms will be completed by the parents and will accompany the teacher on the field trip.
g) The Principal will ensure that a contingency plan providing all medical and emergency measures is established (e.g. medical information form, First Aid Kit, and medication for students with life-threatening allergies). h) Regular attendance checks are to be made to ensure that all members of the party are accounted for: - at the beginning and closing of each activity - at each gathering point - each time students board/disembark
i) Adult supervision will be required according to the following guidelines: - 1 adult per 5 pupils for J.K. and S.K. - 1 adult per 10 pupils for Grades 1-6 - 1 adult per class for Grades 7 to O.A.C. j) The principal will establish a discipline protocol for field trips and ensure it is communicated to the student, parent/guardian and school staff. k) Opportunities will be provided for Sunday worship on all weekend field trips. l) The Principal will consider providing financial assistance, where possible, to students who demonstrate such a need. 2. Overnight Field Trips within Canada and to the U.S.A.: - An itinerary of the trip and a list of all members (students, staff, adult supervisors) of the group will be prepared with one copy to be kept at the school and another to accompany the group. - The person in charge will have a list of all the names and telephone numbers (home & work) of the parents as well as that of the emergency contact person. - Added Health Insurance coverage will be obtained by all participants for trips to the United States. 3. Field Trips outside Canada and the U.S.A. and/or Sponsored by Outside Organizations: - The approval of the Executive Committee and the Board will be required. - An itinerary of the trip and a list of all members (students, staff, adult supervisors) of the group will be prepared with one copy to be kept at the school and another to accompany the group.
