VMQG Board meeting Start 6:40 pm Patrice emailed timeline to all board members. This is in the manual. Present: Patrice, pres, Judy C VP, Becky communications, Annie secretary Kathy Price hospitality, CaryLyn treasurer, Sue Nowak, Judy Hunt New 2017 board members: President: Tisha Maeda Vice President: Scott Griffin Treasurer: Judy Hunt Secretary: Annie Olson Communications: Sue Nowak, Kathy Price, Co-chairs Patrice notes Coffee Bean room can be reserved 30 days in advance, but not 31 days. Kathy notes Panera has a room. Scott says meal has to be purchased there, as well as at Marie Callendar’s. Patrice wants to ensure full slate of new board was mentioned in minutes for new members for banking reasons. Blue Host is still on Georganna’s credit card. Scott asks if there is discount for multi year. Becky says yes for Domain, but not web hosting. Becky was planning to investigate new web host. Moving web host is a process. Blue Host $400 for three years, per CaryLyn. Nonprofit status can be mentioned for possible discount, which has another agency involved. Need to find out about rates. Becky says it expires in 3 years. Domain name is $20 and needs to be re-upped. CaryLyn says this went onto Georganna’s card. It auto charged to her card. Tisha asks if card can be gotten from credit union for guild. Plan to go to bank and ask if can set up debit card for guild. All signing members need to go to the credit union. Has to be done by 12/15. Patrice can go in to credit union and find out what happens (county schools credit union) with new signers. Scott suggests having only two signers. Patrice says 2 are on checks required, if members are absent and have to be tracked down, it was awkward, so that is whey we have all on. Annie is already on account. Judy Hunt will be Treasurer, she lives in Ventura. Finally the SCCQG dues payment has been cleared up on11/30. CaryLyn says president is now taking over for treasurer. Scott wants to know if Tag ever asked for insurance certificate. CaryLyn says we will be getting copy, and he does ask for copy of this. The SCCQG should be sending this. Scott describes this as liability insurance, paid per member of the guild. The liability policy is only good for guests and speakers. We join their guild so we can get insurance. Tisha asks if MQG does insurance.

Patrice says this is the largest guild in the Southern California area. Scott asks if any of the current board attended SCCQG events; Patrice says she and Judy C did attend. Next meeting is going to be in April; it is on a Saturday with all the teachers and reps from the guilds. Patrice notes teachers who want to speak at guilds give a short presentation so you can assess how they do perform. Opportunity Quilt Clara will have more tickets available. Becky says she has been doing an amazing job. We need to get quilt to more display places, members have suggested places but not volunteered. Patrice has the quilt here. Need to have more places to go set up. Scott says Valley Guild mtg on Monday in January would be good event. Judy C will be taking class down there, may be able to stay and show quilt. FabricTown and Quilt Ventura have been allowing display and selling. CaryLyn asks if Kelly has display space. Fabrictown says we can display, but they can’t sell tix. Becky notes she has info but hasn’t followed through with display efforts. Patrice notes this is better to do with two people to set up and sell. Patrice asks Becky if there are some events she can email new board with contact info regarding display. CaryLyn says so far we have collected $540. Pack of tickets is #20. Becky says we have 3 guild meetings left before drawing, encourage members to just pay for tickets they are holding, put anyone’s name on them that you want. Remember that bring a friend event in January. Work in house to get most bang for opportunity quilt. Remind by email to sell tickets and bring $ to next meeting. Patrice suggests connecting with local clubs like Kiwanis, Rotary, etc. CaryLyn notes we would bring $830 if we sold all tix for 6 for $5. Quilt Rack, discount for guild of $20, multiples $5 off, minimum of 4. Scott says guild shows at sites have specific racks with curtains, etc, so no need to buy more than one. Kathy says she can order. Kathy says this is easy to set up by one person. CaryLyn will reimburse. Judy C asks if speakers require guilds to have racks, Scott says no. Patrice says if there are no racks, members can hold up speakers’ quilts. Becky wants to buy back the $25 rack. Scott says we will let her keep this. Kathy has a lot of fabric to donate, including batiks. Note that MQG leader has a line of batik— definition of what is modern can fluctuate. Discussed freebie table suggested by Judy C, CaryLyn says make sure people take back whatever they do not get rid of. Scott suggests WIPs that are partially constructed go to philanthropy. Judy wants there to be sure that philanthropy donations have guidelines for new philanthropy chair. Tisha says to have specific listing of what happens to fabrics and old projects donated. Kathy has a silk batting filled comforter that can be donated. Sew-in was very successful, with Scott’s class on the Celebration Wreath. Kathy has finished hers. Judy has nearly completed hers.

CaryLyn says we have $50 budget for giveaways, $50 for hospitality to spend by end of the year party. Becky notes centerpieces can be purchased and given away. Christmas Party—Becky asks there is no show and tell or challenge, right? Patrice says we all decided no. Fat quarter for game participation, guild to purchase extra fat quarters. Existing guild needs to donate charm square pack or cut from stash. Tisha has the LRC dice, she is leaving for vacation and won’t be at party. Judy asks about stealing, Scott doesn’t like it. $15 wrapped gift exchange, 'Twas night before Christmas game with fat quarters. Patrice wants to read in Cajun accent. January meeting--suggest from old board to new board to have membership kick off, bring a friend. February 5th anniversary of guild, bring friends and community March, SBMQ member Irene Beatie will have trunk show April Alyssa Haight-Carlton speaker. Having baby, going to QuiltCon in Savannah, so hasn’t confirmed for April or May. Scott asks if MQG has a blank speaker contract. Patrice can get one from Cam quilt guild. Scott says thank you for setting up first three months of year. No challenge yet for January, per Judy C, Scott says there is a new Kaufman color of the year that would be a great challenge. He has made three quilts for Kaufman but had to give back all the quilts. He will check with Kelly if she is going to carry the color in her shop. Sew Modern is closing. Scott says will be announced at December member meeting. Kathy suggest MQG block of the month as a pattern, use white or gray or white background. Scott says curves scare members. Tisha says maybe offer last 3 choices from MQG block of the month. The blocks are on line. Scott will investigate using hospitality $$ to purchase new fabric for the December meeting for January challenge. Judy C says she gets discount at Fabrictown for fabric. PHILANTHROPY Barb and Adele worked on large top at sew in, with Sandy Hiebert .

Traudel and Kathy discussed having philanthropy heads change quarterly. Judy C says she thought Sandy was 100% on board for whole year. Becky needs list of what we donated this year to place on website. Patrice has items members have donated for challenges including placemats. Tag has list of different groups, we can work with Jobs daughters and other groups for their philanthropy and can use building for free. CaryLyn says Tag dropped rent, it is paid for 2016. Charge for year $40 a month. Scott wants to know if we can pay for entire year. CaryLyn says we have contract. Scott has not met Tag yet. Judy C mentions maybe next year maybe doing a small quilt show. Kyle and other member looking into this, maybe with Santa Barbara guild. CaryLyn notes this was to be member directed. Tisha wonders why we don’t feature trunk shows for existing members. Judy C says other thing we discussed setting a pattern for next opportunity quilt early and to have this ready for the shop hop which is in June. Scott wants bigger showing at Ventura County Fair. Sue goes to Ventura adult ed and a member got sharpie bleed through from someone writing on the tag while on the quilt. Carylyn says we have to pay $700 for 50 members, if we have more members it would be more cost effective. Goes up to 850, probably $15 a person. Tisha says she is not looking for huge guild we do need more members to show up. Incentivize people bringing friends, extra raffle ticket offered for friend. Tisha wonders what raffle is going to be for January (Clara in charge). Becky says to pump up the raffle for January. Becky says she will be sending out emails for new board members, so board mail can be forwarded to personal email. Toggle on gmail to keep guild email from flooding personal mail. Schedule time to talk with new communications Kathy and Sue. Becky will show how to do Google. All docs for VMQG are all living on the Google Drive. All instructions and passwords are on the Drive . Enews once a month. President sends Becky a documented email. Mailchimp is used to send out the email. Board and member meetings need to go out specific times. Log in and edit pages to update on the website. Email, Enews and Website the three big ones. All docs live on Google docs. Becky will email times to get together. Scott asks if all members previously joined available on doc? Becky has spreadsheet. Patrice says she was not able to figure out when members joined by looking at the spreadsheet. Scott would like to extend welcome for the 5th anniversary. Becky wonders if mothership has info on all the members when they joined. Patrice will contact the mothership to find out when people

joined MQG. Needs to be added to the membership sign in for Start Date. Carylyn says payment dates for joining on docs, she will look for it. Kathy thanks previous board for volunteering. She has enjoyed the year. Tisha will do presentations with PowerPoint, she is familiar with this. She is excited and grateful for the challenge. Judy C says we covered every category that come out on survey. Becky says this was helpful. Scott says previously they did not find it helpful. It is a requirement of the MQG. Patrice thought the large format putting up on sheets worked better than answering privately on a separate paper. Becky says this was helpful to have the data, but more important to get input from more members and listen to what they wanted. Survey is due every year. Becky would like to have an exit interview for better information on what members want. Patrice suggest maybe March. Tisha thinks maybe April or May, speakers that time. CaryLyn says June, after speakers, might be best for survey then. Judy C says advanced members did not want to be taught and stopped coming, but new lesser experienced members might. MQG does not use the survey information, per Scott. Carylyn says WE can use the info. Scott says he tried this but it didn’t work at Valley, they wanted a formal survey. VMQG previously had formal survey but it was like pulling teeth to get filled out, per Scott. Andres had online survey which only 16 members filled out. Skill builders at non speaker meetings, per Scott, might be good. Fat quarter giveaways are very popular at each Valley Guild meeting, people love that. Bring a designated fat quarter, win all the fat quarters with raffle ticket. Judy C suggests asking members who left the guild why they left, as part of a survey. Scott thinks maybe calling members who left may be useful. Scott asks Becky to come to next meeting. Coffee Bean and wifi. Scott says we have invited Santa Barbara guild, Judy and Patrice says suggestion for meeting halfway at Roxanne’s in Carp. They also meet in Goleta. Controversy this year was Modern Only. Scott says Kathy and Rob will return to meetings likely, but his health is not well, vision is seriously impaired per Patrice. Adjourn 8:35 pm
